Analytical AI, on the other hand, works with data: finding patterns, spotting outliers, and making projections. This is where AI can really help with research finance, such as forecasting spending, flagging odd expenses, or predicting potential deficits. But remember, these systems are only as good as the data you feed them. If your records are messy, the AI’s output will be too, sometimes making inconsistencies even more obvious. Of course, the limitations matter just as much. AI can sound confident even when it’s wrong, and it tends to strip away the context and nuance that’s so important in research. The responsibility for getting it right—accuracy, compliance, judgment—still sits with people. The process isn’t completely reinvented; it’s just faster, and review matters more than ever.

As a practical next step, consider piloting an AI tool in a low-risk workflow, such as drafting non-sensitive internal communications or summarizing policies that are already public. Test the tool, gather feedback from your team, and review both outcomes and processes. This approach lets you experiment safely and build confidence before expanding AI use into more critical areas.

The heart of research administration—keeping things compliant, making sure the numbers add up, and heading off problems before they start—remains mostly behind the scenes. AI doesn’t replace this work. It just gives you new ways to approach it. Used well, it can make your systems easier to understand, your documentation clearer, and your risks easier to spot.

But AI can’t fix a broken process on its own. It only reflects what’s already there.
